In order to provide our service to our clients we need to collect some personal data from you, including detailed contact data in order to manage your booking. What Data Do We Collect?

We collect data from you so that we can provide you with the best possible experience when you utilise our services, and in order to process your booking. Your personal data is mostly collected directly from you when you complete an enquiry, contact or booking form via our website, request to be added to our newsletter via our website or over the telephone or email, participate in competitions or surveys, contact us via social media or when you contact us by telephone or email to make an enquiry or to confirm a booking. You are responsible for ensuring that all members of your party are aware of this Policy and our Terms and Conditions and consent to your acting on their behalf in terms of data disclosed to us.

How We Use Your Information

We limit the information we collect from you as much as possible and limit its use and purpose to deliver our services to you, process your booking should you proceed, and as we are required or permitted for legal compliance.

When you make an enquiry, we will use your details to assess the most suitable properties for you and communicate with you.

When you confirm a booking with us, we collect your contact details and may collect other information including but not limited to details about your party, dietary requirements, vehicle information and any special requirements you may have in order to process your booking. This information is passed to the relevant Property Owner, Manager, tour operator, hotel or managing agent for the property you have booked in order to confirm your booking for this sole purpose. Should you confirm you wish to book any additional services, your personal data will be passed to the Supplier of each service as agreed at the time of booking for this sole purpose.

If you have requested to join our newsletter mailing list, we may also use your personal data to send you updates, special offers or news that may be of interest. Your data may be shared with selected third parties in order to communicate these updates with you such as by email newsletter. We do not pass your details on to any third party for the purpose of marketing. You may opt out of receiving communication from Elysian Estates at any time by emailing info@elysian-estates.co.uk.

We may share your data with carefully selected third parties who act as “data processors” on our behalf only as necessary for them to perform services on our or your behalf, such as processing credit card payments, administration, customer care, conducting competitions or surveys, communicating with you such as by email newsletter or customer relationship management. These third parties are prohibited from using or sharing your personal data for any purpose other than as they have been specifically contracted for.

We use data collected whilst you interact with us and our website to improve and optimise our service to you, identify news and offers that may be of interest to you, identify any errors or enhancements needed, prevent fraud or misuse, and produce statistics to help us understand how best to serve you.

We cooperate with government and law enforcement officials and private parties to enforce and comply with the law. We will disclose any information about you to government or law enforcement officials or private parties as we, in our sole discretion, believe necessary or appropriate to respond to claims and legal process, customs/immigration departments, to protect our property and rights or the property and rights of a third party, to protect the safety of the public or any person, or to prevent or stop activity we consider to be illegal or unethical.

How You Can Access, Update or Delete Your Data

You have the right to access the personal information we hold on you, how we use this data and for what purpose. You may request a copy of this data at any time by emailing info@elysian-estates.co.uk and we will supply an electronic copy of this data within 30 days of your request.

You also have a right to be forgotten, and you may request all data we hold on you to be erased or no longer processed, provided that data is no longer relevant to your booking or enquiry. If you have made a booking for one of our properties, under UK law we must hold guest records of all our properties for 12 months from the date of your stay.

How We Secure and Store Your Data

We have taken all reasonable steps to have appropriate security measures in place to protect your information by design, including physical, electronic and managerial procedures to safeguard your information. We use the generally accepted standard SSL encryption (Hyper Text Transfer Protocol Secure or HTTPS) on our website to keep your data safe via encryption both during transmission and when received. Some files are stored on third party servers such as Dropbox which is certified as being compliant with the most widely accepted security and privacy standards and regulations in the world.

We retain your personal data only as long as is necessary to maintain adequate and accurate business and financial records, for enforcing our legal rights and as mandated by contract or law to our business operations.

Age Restrictions

We only accept bookings from guests aged 18 or over. If children under the age of 16 are in a party booking into one of our properties and we require their details, this must be with the parent’s consent.

We reserve the right to modify this Privacy Policy at any time. If this occurs, we will post details here and on our home page 30 days prior to the implementation of such changes.
